Prompting and AI Workflow Design

Practice: Map One Repeated Workflow

Unit ID: PAW-M10-U05 Estimated active time: 25-30 minutes

What you are producing

One complete workflow map for a task you genuinely repeat, from input to record, with owners and times.

Choose a task you do at least monthly

Frequency is what makes a map worth drawing. A one-off task does not repay the effort.

Pick something with a real reader and a real consequence, not a practice exercise.

Map current state first

Use unit 10.01's map. Do not design the improved version until the current one is written down, including the annoying parts and the fragile step.

Most people discover something in this step that they did not expect.

Then design the assisted version

WORKFLOW MAP — (task name)

Step Who Assisted? Output Minutes
--------------- ---- --------- ----------------- -------
1 gather
2 privacy gate
3 generate
4 review
5 decide
6 revise
7 approve
8 record

Judgement steps (never assisted):
Manual path if the tool is unavailable:
Total minutes: before ____ after ____
Riskiest step and its guard:

Run it once, for real

A map that has not been run is a guess.

Run the whole thing on a real instance, timing each step. Note where it differed from the map — that difference is the map's error, and it is usually in the review step.

What to keep

The current-state map, the workflow map, and the timings from the real run.

This is the fifth portfolio artefact, and Module 12 adds gates to it and packages it as a template.
