Changing tone for audience

The main idea
Tone should match the reader and the relationship.
The same information can be a reminder, a request, or a warning depending only on how it is written. Choosing which is a decision, not a style preference.
Why this matters
Tone carries information about the relationship, and getting it wrong sends a message you did not intend — that this is more urgent than it is, or less serious, or that you are annoyed.
Safe example
The same reminder can be friendly for a teammate and formal for a vendor.
The facts are identical. What changes is what each reader concludes about how much trouble they are in.
Better working habit
Name the relationship and tone before asking for a rewrite.
"Write to a supplier we have worked with for years and want to keep" produces a better result than "write professionally".
What to watch for
Do not choose a tone that hides the real issue or sounds unfair.
A friendly wrapper around a serious problem is a common failure. The reader enjoys the message and misses the point.
Mini practice
Create two tone versions and explain where each is appropriate.
Then check that the serious content survived intact in the friendlier one.
