Module 5 Activity: Meeting Notes to Follow-Up
Activity ID: AIT-M05-A01 Estimated active time: 35-50 minutes
Purpose
Turn safe sample meeting notes into a summary, action list, decision note, and open-question note.
Use safe, fictional or public material throughout. Nothing in this activity requires a real name, account, record or figure.
Activity Steps
Part 1: Create or use safe sample meeting notes.
Fictional notes are fine and are safer. Include at least one item that was discussed but not decided.
Part 2: Write a prompt brief for the follow-up note.
Name the note type you want — summary, actions, decisions, open questions — and say who reads it.
Part 3: Generate or draft a summary and action table.
Keep decisions and suggestions in separate sections. Give every action a task, an owner and a date, or a visible placeholder.
Part 4: Mark unknown owners, dates, and decisions.
Use a placeholder rather than a plausible name or date. Count them; they are the conversations you still owe.
Part 5: Write a final follow-up note after review.
Write it so someone who was in the room could tell you what it got wrong.
What good looks like
A strong response keeps the open questions open and marks every unknown owner and date rather than filling them.
