AI Tools for Everyday Work / Module 1

Module 1

The Everyday Workflow: Ask, Review, Improve, Decide

Unit ID: AIT-M01-U03 Estimated active time: 15-20 minutes

A repeatable workflow

For this course, use one simple workflow:

  1. Ask.
  2. Review.
  3. Improve.
  4. Decide.

You will use this pattern in writing, summaries, meetings, research support, documents, tables, planning, and the final capstone.

Step 1: Ask

Asking is more than typing a short command.

A useful ask includes:

  • the task;
  • the audience;
  • the context;
  • the desired format;
  • the constraints;
  • the review criteria.

You will learn this in detail in Module 2. For now, remember that the tool cannot guess everything you mean.

If the tool needs more information, it should ask you questions before writing a final answer.

Step 2: Review

Review means you read the output with care.

Check:

  • Does it answer the task?
  • Is it accurate?
  • Does it make unsupported claims?
  • Is the tone right?
  • Is anything missing?
  • Does it include private or sensitive information?
  • Could it be unfair, biased, or harmful?

Review is not optional. It is part of the work.

Step 3: Improve

Improving means you either edit the output yourself or ask a better follow-up.

Examples:

  • "Make this shorter and more direct."
  • "List assumptions separately."
  • "Ask me three questions before revising."
  • "Remove claims that need external sources."
  • "Rewrite this for a beginner audience."

You can also decide not to ask the tool again. Sometimes your own edit is faster and safer.

Step 4: Decide

The final decision is not "the AI gave me an answer".

The final decision is one of these:

  • use it;
  • edit it;
  • verify it first;
  • ask a follow-up;
  • reject it.

This is where you take responsibility.

A small example

Task:

Help me create a checklist for preparing a short online class.

Ask:

Create a checklist for preparing a 45-minute online class for adult beginners. Include only practical preparation steps. Keep it simple.

Review:

  • Does it include internet, slides, examples, and learner activity?
  • Does it include anything unnecessary?
  • Is it realistic for 45 minutes?

Improve:

Add a section for checking accessibility, captions, and backup links.

Decide:

Use the checklist after editing it for your real class.

Quick practice

Choose one safe everyday task.

Write one sentence for each step:

  • Ask:
  • Review:
  • Improve:
  • Decide:
